1. Introduction

WABot AI ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application and services.

2. Information We Collect

2.1 Information You Provide

  • Account information: Phone number, password, business name
  • WhatsApp connection: WhatsApp account connection via QR code pairing
  • Business data: Business information, training data, website content you choose to scan
  • Customer interactions: Messages exchanged between your WhatsApp and your customers (for AI response generation)

2.2 Automatically Collected Information

  • Device information (device type, operating system)
  • App usage statistics
  • Error logs and performance data

3. How We Use Your Information

We use the collected information to:

  • Provide and maintain our AI-powered WhatsApp assistant service
  • Include your business information in the instructions sent to the AI model so that it can answer your own customers correctly. We do not train, fine-tune or otherwise develop any AI or machine learning model with your data
  • Generate automated responses to your customers
  • Process payments and manage subscriptions
  • Maintain, troubleshoot and improve the functionality of the service itself. Data obtained from Google APIs is used only to provide the features you enabled, never for any other purpose
  • Send important service notifications

4. Data Storage and Security

  • Your data is stored securely on our own servers in Germany (EU)
  • WhatsApp session data is encrypted
  • We use industry-standard security measures to protect your information
  • Server infrastructure is hosted on Hetzner (Germany, EU)

5. Third-Party Services

We use the following third-party services:

  • Google Gemini AI: For generating intelligent responses
  • Google Calendar: Optional appointment integration (see 5.1)
  • Google Sheets: Optional order export (see 5.1)
  • Meta WhatsApp Cloud API: Only for users who send bulk campaign messages
  • Payment processors: For subscription management

5.1 Google User Data

Connecting a Google account is entirely optional and is only needed for the two features below. Each feature is authorized separately, so allowing one does not give access to the other. You may use WABot AI without connecting any Google account.

  • Google Calendar (calendar.events): We read the start and end times of events in the connected calendar to work out which appointment slots are still free, and we create, update or delete only the events for appointments booked through your bot. We do not read the titles, descriptions, guests or attachments of your other events, and we never share your calendar with anyone else.
  • Google Sheets (spreadsheets): We read the header row of the spreadsheet and tab that you choose, so that order details are written under your own column names, and we append one row for each order taken by your bot. We do not create, rename or delete spreadsheets, and we do not access any other file in your Google Drive.

We store only the access and refresh tokens needed to keep these features working. You can disconnect either integration at any time from within the app; when you do, the stored tokens are deleted from our servers immediately and no further access is possible.

WABot AI's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, we do not sell or transfer it, and we do not use it to develop, improve or train generalized artificial intelligence or machine learning models.

6. Data Sharing

We do NOT:

  • Sell your personal data to third parties
  • Share your customer conversations with other users
  • Use your business data to train models for other customers

We MAY share data:

  • When required by law
  • To protect our rights or safety
  • With service providers who assist our operations (under strict confidentiality)

7. Data Retention

  • Account data: Retained while your account is active
  • Message history: Retained for service functionality
  • Upon account deletion: All associated data is permanently deleted within 30 days

8. Your Rights

You have the right to:

  • Access your personal data
  • Correct inaccurate data
  • Delete your account and all associated data
  • Export your data
  • Withdraw consent at any time

9. Children's Privacy

WABot AI is not intended for users under 18 years of age. We do not knowingly collect data from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes via the app or email.
